Overview
We are seeking a motivated, tech-savvy, highly organized, and proactive Executive Administrative Assistant to support the CEO and Senior Vice President. This pivotal role requires a professional with exceptional office management skills, strong communication abilities, and the capacity to handle a diverse range of administrative tasks. The ideal candidate will be adept at managing calendars, coordinating projects, and providing comprehensive support to ensure smooth daily operations within our organization. This position offers an opportunity to work in a dynamic environment where attention to detail, discretion, and efficiency are paramount. You will gain first-hand experience, if you don't already have it, with Artificial Intelligence while working alongside Entrepreneurs and Technology Leaders.

Responsibilities

  • Provide comprehensive administrative support, both business and personal, to the CEO and Senior VP, including managing calendars using Google Workspace and other systems.
  • Coordinate and schedule meetings and appointments with precision and professionalism.
  • Prepare, proofread, and transcribe documents, reports, and correspondence with accuracy and attention to detail.
  • Support bookkeeping tasks, including expense tracking. Experience with Ramp is a plus.
  • Attend and support meetings, webinars, and outreach events.
  • Facilitate project coordination across departments to ensure the timely completion of initiatives.
  • Use DocuSign for electronic signatures and manage document workflows efficiently.
  • Maintain confidentiality of sensitive information at all times while providing superior customer service to internal staff and external contacts.

Qualifications

  • Passion for technology, AI, and business operations.
  • Experience with AI tools such as ChatGPT, AI bots, and AI-powered CRM's.
  • Proven experience in executive administrative support within a professional office environment.
  • Strong organizational skills with the ability to multitask effectively in a fast-paced setting.
  • Willingness to travel for meetings, trainings, and company events.
  • Excellent proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools (Docs, Sheets).
  • Exceptional communication skills with professional communication.
  • Ability to proofread documents accurately.
  • Knowledge of project coordination techniques.
  • Demonstrated computer literacy with office software applications and electronic signature platforms like DocuSign. This role is ideal for a dedicated professional seeking an engaging position that combines administrative excellence with opportunities for growth within a supportive environment.

  • This is a Hybrid Role. Must be able to meet in person at least once a week for the support of our CEO and a total of 2/3 days a month for our SVP.
