Job Description

Maryville Nursing Home  is seeking experienced, hands-on Unit Secretary to join the team of healthcare professionals serving the needs of resident within a skilled Nursing facility . Our Unit Secretary provides excellent Administrative support to the nursing unit to provide a smooth and efficient operation. 

This position plays a key role in maintaining effective communication among residents, families, physicians, and interdisciplinary team members while upholding the mission of SSMO Ministries.

Key Responsibilities :
  • Serve as the receptionist and first point of contact for the unit, directing visitors,answering phones, and relaying messages appropriately.
  • Facilitate communication throughout the shift between the charge Nurse, RCM, physicians (MDs/DOs), Physician extenders (NPs/PAs), therapists, staff and others.
  • Manage all incoming and outgoing phone calls and ensure timely and accurate communication of messages.
  • Notify Charge Nurse or RCM of new faxes, physician orders, lab result, or other critical communications.
  • Transcript physician and provider orders into the electronic health record system (e.g., PCC) to be verified by nursing staff.
  • Prepare and organize paperwork, including lab requisitions, x-ray forms, and appointments.
  • Distribute incoming mail, newspapers, and floral deliveries to residents in a timely manner.
  • Monitor medical records mailbox and ensure it is picked up daily by Health Information Management (HIM); ensure a backup plan is in please if unavailable.
  • Assist in maintaining medical records and ensuring all documentation is current and appropriately filed.
  • Help prepare rooms for new admissions and discharges, assisting nursing staff as needed with non-clinical support.
  • Maintain confidentiality in accordance with HIPAA regulations and facility policies.
  • Other duties as assigned.

  • Education and Experience:
  • High School Diploma or equivalent
  • Prior experience working in a healthcare setting, preferably in a clerical or
  • administrative role.
  • Proficient in Microsoft office and electronic medical records systems (e.g.,
  • PointClickCare or similar).
Preferred Skills
  • Experience using the PointClickCare system.
  • Experience working in an Administrative roll within a long-term care facility.
  • Physical Requirements:
  • Ability to sit, stand, and move easily between workstations.
  • Ability to lift and carry supplies weighting up to 25 lbs. on a regular basis.
  • Ability to standing and walk for the majority of a shift. Includes walking frequently
  • and standing for long periods of time.
  • Able to frequent reaching, as well as the need for fine motor dexterity and
  • grasping to handle small objects and operate equipment.
  • Proper lifting and safety techniques are required throughout the facility.
Education and Experience:
  • High School Diploma or equivalent
  • Prior experience working in a healthcare setting, preferably in a clerical or administrative role.
  • Proficient in Microsoft office and electronic medical records systems (e.g., PointClickCare or similar).
Preferred Skills
  • Experience using the PointClickCare system.
  • Experience working in an Administrative roll within a long-term care facility.
