ADMIN ASST TO CASINO GM Location Albuquerque, NM (Alameda N Valley area) :

Position Summary

The Administrative Assistant supports the General Manager of Gaming Operations.

Supervision Exercised

Reports to the General Manager of Gaming Operations

Major Duties and Responsibilities

  • Provides advanced administrative support by overseeing the daily operations of the Casino through professional, ethical business practices.
  • Performs routine administrative responsibilities such as drafting correspondence, scheduling appointments, meetings, conferences, travel and organizing and maintaining paper and electronic files.
  • Ensures operation of equipment by completing preventive maintenance requirement; calling for repairs; maintaining equipment/supplies inventories; evaluating new equipment and techniques.
  • Resolves routine administrative issues and answers inquiries concerning patron disputes and departmental issues.
  • Accepts, screens, and routes telephone calls as necessary.
  • Acts as a liaison with other departments and Sandia Tribal Gaming Commission on basic administrative and/or operational matters.
  • Reviews, and proofreads correspondence, reports, and Internal Controls for accuracy and syntax.
  • Sorts, opens and distributes mail; sends and retrieves facsimiles.
  • Maintains employees' work schedules in Unifocus.
  • Replies to E-Surveys submitted through Unifocus.
  • Maintains employees' time card information in KRONOS.
  • Attends various executive-level meetings and transcribes minutes.
  • Uses the Internet to research information for assigned projects.
  • Coordinates and manages special projects with vendors.
  • Performs additional duties and responsibilities as assigned

  • Ability to type 55 wpm accurately.
  • Ability to operate a multi-line telephone system.
  • Ability to understand and carry out oral instructions.
  • Ability to interact effectively with the general public and Casino staff.
  • Ability to file, use a computer and standard office machine equipment.
  • Ability to work efficiently and accurately in an atmosphere of frequent interruptions.
  • Ability to exercise tact, courtesy, and initiative in handling routine problems.
  • Knowledge of office practices and procedures, Business English, math and spelling.
  • Advanced knowledge of Windows and Microsoft Office Suite including Outlook, Word, and Excel.
  • Ability to produce a range of documents accurately.
  • Ability to exercise sound personal management practices and exhibits a strong motivational commitment to the organization.
  • Ability to work odd and unusual hours, including weekends and overtime.
  • Ability to make judgments/referrals and decisions regarding customer and employee conflicts.

Minimum Qualifications, Education and Experience

Required:

  • High School Diploma, GED certification or equivalent.
  • One (1) year experience in an increasingly responsible position in an office/clerical management position.
  • Must be at least 21 years of age.
  • Must possess and maintain a valid, unrestricted New Mexico Driver's License.

Preferred:

  • Certification in Executive Secretarial Studies, Business Management or related field.

Licensing Status

  • Must be able to obtain and maintain the required Gaming License.
  • Will require a post-offer, pre-employment and random drug screening.

Working Conditions

  • Work performed indoors.
  • Work hours subject to change with overtime work required.
  • Must be able to work long hours under stressful conditions.
  • Subject to hazards, which may cause personal bodily harm: smoke, common colds, influenza, dust, odors, and elevated noise levels
  • Tasks may be performed on uneven, inclined, hard, and soft-carpeted floors, cement structures, and surfaces.
  • Duties may involve walking, standing for long periods, sitting, and crouching.
  • Specific required movements include the following:
  • Trunk-bend, twist, rotate, push, pull, and carry
  • Arms-reach, carry, push, pull, lift, twist, and rotate
  • Legs-lift, push, pull, twist, and rotate
  • Hands-grasp, manipulates, bilateral coordination, eye, and hand coordination, overall and finger dexterity.
